3. Legal Basis for Processing (GDPR)
Where the General Data Protection Regulation (GDPR) or UK GDPR applies, we process your personal data under the following legal bases:

6. Data Storage & Security
We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. These include:
- Encryption of data in transit (TLS) and at rest (AES-256).
- Access controls limiting who can view personal data within our team.
- Regular security assessments and monitoring.
- Secure cloud infrastructure hosted by reputable providers with industry-standard certifications.
No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
7. Data Retention
We retain your personal data only for as long as necessary to fulfil the purposes described in this policy, or as required by law. Specifically:
- Account data is retained for the duration of your relationship with us and for a reasonable period afterwards (up to 2 years) for legitimate business purposes such as dispute resolution.
- Customer content and workspace data is deleted within 30 days of contract termination or upon your written request, unless we are required by law to retain it.
- Financial records (invoices, payment history) are retained for up to 7 years as required by applicable accounting and tax laws.
- Marketing opt-out records are retained indefinitely to honour your preferences.
8. Your Privacy Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: request a copy of the personal data we hold about you.
- Correction: request that inaccurate or incomplete data is corrected.
- Deletion: request that we delete your personal data (“right to be forgotten”) where there is no overriding legal basis for us to retain it.

- Objection: object to processing based on legitimate interests, including for direct marketing.
- Restriction: request that we restrict the processing of your data in certain circumstances.

Agentic AI Labs operates globally. Your data may be transferred to and processed in countries other than your own, including countries whose data protection laws may differ from those in your jurisdiction. Where we transfer data outside the European Economic Area (EEA) or UK, we ensure appropriate safeguards are in place — such as Standard Contractual Clauses approved by the European Commission, or equivalent mechanisms — to protect your personal data.
10. Children's Privacy
Our services are not directed to children under the age of 13 (or 16 where applicable under local law). We do not knowingly collect personal data from children. If you believe we have inadvertently collected information from a child, please contact us immediately and we will delete it.

12. AI & Automated Processing
Our products use artificial intelligence and automated processing to perform tasks on your behalf (e.g. voice responses, scheduling, follow-ups). Please note:
- AI-generated outputs are provided as-is and may not always be accurate. They should be reviewed before being relied upon for important decisions.
- We do not use your customer conversations or content to train or improve our underlying AI models without your explicit written consent.
- Where automated decision-making has legal or similarly significant effects on individuals, you have the right to request human review.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by updating the “Effective Date” at the top of this page and, where appropriate, by sending you an email notification.
